VP of Finance

Reports to the President of the Wharton Club of New York


The Division:
The Finance Division is responsible for ensuring strong fiscal controls and the smooth financial operations of the Club. This Division manages the relationships with our accounting/bookkeeping and audit firms. It is responsible for filing the Club’s annual taxes with the IRS on a timely basis. This division is responsible for ensuring that the cash inflows covers the cash outflows and that the Club runs at either a surplus or breakeven, but not at a deficit. It works with the Club’s Treasurer and Investment Committee to explore options and execute the investment its accumulated surplus efficiently. It is an important function of the Club since many important activities and resources will not be able to be made available to the alumni community without the smooth financial operations of the chapter.

Responsibilities:
The VP of Finance is responsible for managing the Club’s accounting and finances. S/he will work closely with the President and other Vice Presidents to enforce prudent financial and accounting controls. This role includes the day-to-day function of reviewing and approving bills, signing checks, putting together the annual budget, and liaising with the accounting/bookkeeping/audit firms to ensure our financial statements, balance sheets and tax filings are in order. Special projects include analysis, modeling, projections, or coordinating RFPs for certain expenses e.g. new audit firm, insurance, etc.

Time Commitment:
Volunteer time commitments vary, but expect to give an average of two hours per week to this effort. During tax and audit season, expect the time commitment to rise. Outside of that period, it is primarily approving of invoices and signing outbound checks on a timely basis, and making sure that proper fiscal governance and controls are in place. Periodically, there are special projects such as analysis of our historical financial data that may take additional time. Note that you must have access to email which you can monitor on a daily basis, as much of the coordination among the volunteer team is conducted via email. Being easy to reach and responsive helps.

Qualifications:
All volunteers must be supporting (dues paying) members of the Wharton Club of New York. The type of person would be most suited for the position: an organized accounting/finance professional who is detail-oriented and looking for a challenging volunteer position as a CFO of the Club. We are looking for someone who has the time to give to the Club, and is able to respond on a timely basis (within 24 hours). You need to be located within the New York metro area and be able to attend VP and Board meetings (usually held in midtown Manhattan from 6:30pm to 9pm on week nights), which take place approximately once a month. There are sometimes additional meetings or calls in between meetings.

Once the submission is received, the applicant will be contacted by one of the Club’s volunteers. The Club expects that each selected volunteer will treat this volunteer "job" as seriously as a professional job and recognize that it is an extension of his or her professional world.
